Snooker King
Table Bookings
Bookings in Snooker King let customers reserve a table for a set date and time, either through staff at the counter or through Book Table in the member portal. Each booking has a location, start time, duration and customer, can repeat weekly, fortnightly, monthly or yearly, and moves through the statuses Confirmed, Checked In, Completed, Cancelled and No Show. Checking a customer in starts the game on the booked table. Bookings are used by front-desk staff, managers and members.
Before You Start
- To change booking rules, a manager needs the Bookings tick under Setting Permissions. Owner accounts always have access.
- Set your rules first under Settings > Bookings. Rules are set per table type, so snooker and pool tables can follow different rules.
Booking Rules
- Go to Settings > Bookings.
- Choose the Table Type to configure.
- Set the fields below. Use Exclude from Booking page to keep a table type off the booking screen entirely.
| Setting | Meaning | Example |
|---|---|---|
| Slot Duration | Time grid resolution for the booking calendar (5 to 120 minutes) | 30 minutes |
| Minimum Booking Duration | Shortest booking allowed | 60 minutes |
| Maximum Booking Duration | Longest booking allowed | 240 minutes |
| Minimum Advance Notice | How soon before the start time a booking can still be made | 1 hour |
| Maximum Advance (Days) | How many days ahead customers can book | 30 |
| Availability Schedule | When booking is open, set for All Days, Weekdays, Weekends or a single day using + Available and + Unavailable | Weekdays 12:00 PM to 1:00 AM |
Opening Bookings
On the Operations page, press the calendar button (Bookings (B)) or the B key. The Bookings window has two views: Listing and Calendar.
Creating a Booking
- Press Create Booking to open Create New Booking.
- Choose the Table Type, the Location (table), the Time and the Duration.
- In Customer Name, search for a member or type a name, and enter the Mobile No.
- Add Notes such as "birthday, needs 2 extra cues".
- For a regular booking, set Frequency (Every week, Every 2 weeks, Every month or Every year) and the number of Occurrences.
- Press Add to Cart. Add more bookings if needed, then press Book cart and Confirm Booking.
For tables sold on a rental plan, choose a Rental Plan (optional). The duration is then set by the plan and payment is taken at check-in.
Checking a Customer In
- When a table has an upcoming booking, starting a game on it opens a check-in prompt showing the booking and a Proforma Estimate.
- Press Check In. The booking becomes Checked In and the game starts on that table.
- When the game ends and the table is checked out, the booking becomes Completed. You can also press Complete on a checked-in booking.
If the booked customer has not arrived and a walk-in wants the table, open the booking and press Start walk-in game. The booking stays in place.
Editing, Cancelling and No-Shows
Open a Confirmed booking from the list to see these buttons:
| Button | Result |
|---|---|
| Edit | Change the booking details, then Save Changes |
| Check In | Customer has arrived; the game starts |
| No-Show | Customer did not come; status becomes No Show |
| Cancel Booking | Booking is cancelled; status becomes Cancelled |
Each status change asks you to confirm first.
Automatic No Show
Snooker King marks a booking No Show automatically when it is still Confirmed after its end time has passed. There is no grace period setting: the change happens once the booked end time is over, and the check runs every few minutes while the Operations page or Bookings window is open. Check customers in before the booking ends so their booking is not marked No Show.
The Listing View
Filter by date (Today, Yesterday, This Week, Next Week and other ranges through Last Year, or Custom Range), by All Locations or one table, and by status. Columns are No., Booked, Booking ID, For, Mobile No., Location, Start, End, Duration, Proforma, By and Status. Sort by Booked or Start by clicking the column header.
| Status | Meaning |
|---|---|
| Confirmed | Booked and waiting for the customer |
| Checked In | Customer has arrived and the game is running |
| Completed | Game finished |
| Cancelled | Cancelled by staff |
| No Show | Customer did not arrive, marked by staff or automatically after the end time |
Frequently Asked Questions
Does a Booking Take a Deposit?
No. A booking records a Proforma estimate but does not collect money. If you require a deposit, take it separately at the counter.
Can Members Book Themselves?
Yes. Members press Book Table in the member portal, pick a date, table and start time within your booking rules, and confirm.
Can I Book the Same Table Every Tuesday?
Yes. Set Frequency to Every week and enter the number of Occurrences.
When Is a Booking Marked No Show Automatically?
As soon as its end time has passed while it is still Confirmed. There is no separate grace period to configure.
What Happens if the Booked Customer Is Late?
The booking stays Confirmed until its end time. You can check the customer in when they arrive, or press Start walk-in game to use the table meanwhile.
