Inventory, Suppliers and Purchase Invoices
Inventory in Snooker King keeps a running stock count for the drinks, snacks and merchandise you sell. Each sale reduces stock, deliveries and adjustments are recorded as stock movements with a reason, and items below their minimum level are flagged as low stock. Suppliers and purchase invoices record what you bought and at what cost. It is used by managers and store staff who order and receive goods.
Before You Start
- Staff need Manage POS stock (view, add and adjust inventory) under Stock Permissions.
- Items must already exist. See Point of Sale and Food and Beverage.
Setting Up Stock on an Item
- Open Settings > Point of Sale and edit the item.
- On the Stock tab, choose the Stock Unit: Unit / piece (default) or Volume (ml / L).
- For drinks sold by the glass from a bottle, set the Serving Size (ml) and Serving Label.
- Set the Min Stock Alert. When stock falls to this level the item shows as low stock.
- Save.
Viewing Stock
In Settings > Point of Sale, the stock area has three views: Items, Purchase Invoices and Movements. On Items, filter the list with All Stock, In Stock, Low Stock or Out of Stock, and switch between List and Grid. Stock Value downloads the value of stock on hand at cost price, grouped by category.
Receiving or Removing Stock
- In Settings > Point of Sale, press Add beside Scan at the top of the stock list. The Stock Adjustment window opens.
- Choose the item and the Type: Stock In (+) or Stock Out (-).
- Enter the Quantity.
- For a stock in, choose the Supplier and enter the Unit Cost. Snooker King shows the moving weighted average cost for this supplier and for all suppliers.
- Optionally enter the Best Before date and How It Came In (for example "6 packs of 24").
- Enter the Document No. (for example the DO or PO number) and a Remark explaining the movement.
- Press Save Adjustment.
Every change is listed in the Movements view, so you can see who changed what and why. Filter it with Latest 30 Records, Latest 100 Records or Date Range.
Scanning a Delivery
- Press Scan to add stock for many items at once.
- Scan each item's barcode in Scan Here. Scanned lines build up in the list.
- Enter the Document No. and a Remark (applied to every line).
- Save the list, or press Clear List to start again.
Stock Counts
- Press Count Sheet to download a sheet listing the items shown, with the system stock and a blank column for your physical count.
- After counting, press Enter Count. Upload the filled-in sheet or type the counts, review the differences, and apply them as stock adjustments.
Export downloads all items in the branch as a CSV. Import adds new items or bulk-updates existing ones from a CSV.
Suppliers
- In Settings > Point of Sale, open Suppliers (beside Categories).
- Add each supplier with Supplier Name, Contact Person, Phone, Email, Address and Notes.
Purchase Invoices
A purchase invoice records goods bought from a supplier and their cost.
- In Settings > Point of Sale, open the Purchase Invoices view and press Add Purchase Invoice.
- Choose the Supplier, enter the PI Number, Invoice Date and Notes / Reference.
- Press + Add Line for each item. Use Buy by pack, Units/pack and Packs for cartons.
- Press Save as Draft to park it without touching stock, or Save Purchase Invoice to add the goods to stock.
- To delete a saved purchase invoice, use Delete (Reverses Stock). A draft is removed with Discard Draft.
Costs and Profit
- GP Target (%) on an item or category sets the gross profit you aim for.
- Fix Cost puts a cost price on stock that was taken in without one, so the stock value is right.
- Buyer List shows who bought one item over a range of dates, as a list you can print or download.

Does Stock Go Down Automatically When I Sell?
Yes, for items with stock tracking set up. Each sale is recorded as a stock movement.
Does Snooker King Order From Suppliers for Me?
No. Low stock is flagged so you can reorder, but ordering is your decision.
Can I Track Drinks Poured by the Glass?
Yes. Set the Stock Unit to Volume (ml / L) and the Serving Size (ml) for the glass.
Where Do Inventory Movements Appear in Reports?
