Member List Export and Identity Verification

Member list export in Snooker King lets the account owner download every member of one organisation as a CSV file, or print the members currently shown on screen. Identity verification settings let you require members to upload an ID front photo, an ID back photo or a face selfie before they can top up credit at your organisation. Both live on the Memberships page and are used by club owners who keep member records, run marketing or need to know who is holding prepaid credit.

Before You Start

  • Download Member List and Print Member List are for owner-level accounts only. Employees, including managers, do not see these buttons, and the system refuses the download for them with the message "Only the account owner can download the member list."
  • The Identity Verification Settings button can be used by any staff account that has access to the organisation.
  • Both need a single organisation selected in the Select Organization filter. With no organisation chosen, the buttons stay hidden.
  • Registering members and plans is covered in Members and Membership Plans.

Downloading the Member List as CSV

  1. Go to Memberships in the top navigation.
  2. Choose your organisation in the Select Organization filter.
  3. Switch the view selector from Membership Plans to Members.
  4. Press Download Member List (next to Create New Member).
  5. Your browser saves a file named like ''members-<organisation number>-<date>-<time>.csv''. Open it in Excel, Google Sheets or Numbers.

The CSV always contains every member linked to the selected organisation, sorted by name. The All Membership Plans filter, the All Status filter and the search box do not narrow the download. If you need only the rows you see on screen, use Print Member List instead. A single download holds up to 20,000 members.

What Is Not Exported

To protect members, the download deliberately leaves out passwords and login tokens, identity numbers (MyKad, passport, MyTentera), tax identification numbers and stored credit balances. Look up a single member's credit on their profile instead.

Printing the Member List

  1. On Memberships, choose your organisation and switch to the Members view.
  2. Narrow the list with All Membership Plans, All Status and the search box if you want.
  3. Press Print Member List.
  4. Your browser's print window opens with an A4 list headed with the club name, the filters used and the print time.

The printout has the columns #, Member Name, Email, Mobile, Plan, Credit, Points and Status, and ends with a member count. Unlike the CSV, it contains only the rows currently visible on screen. If nothing matches your filters, you see "No members to print with the current filters."

Handling Exported Member Data Under the PDPA

A member list contains personal data protected by Malaysia's Personal Data Protection Act 2010 (PDPA). Once the file leaves Snooker King, your business is responsible for it.

  • Download only when you have a clear purpose, such as a renewal campaign or an audit, and use the data only for that purpose.
  • Store the file in a password-protected location, not on a shared counter PC or in a chat group.
  • Do not send members marketing messages unless they have agreed to receive them.
  • Delete downloaded copies and printouts (shred paper) once you no longer need them.
  • Treat a lost laptop, USB drive or printout as a data incident and act on it promptly.

Setting Identity Verification Requirements

  1. Go to Memberships and choose your organisation in Select Organization.
  2. Press the identity card icon button (tooltip Identity Verification Settings) at the top of the card.
  3. The Identity Verification Settings window opens, showing your organisation's name.
  4. Tick the documents members must provide (see the table below).
  5. Press Save. You see "Identity settings saved". Press Close to leave without saving.

The same three options also appear on the General tab of the organisation's settings under Member Identity Requirements.

How the Requirement Works

  • The check runs when a member tries to top up credit at your organisation from the member portal. If a required document is missing, they are asked to upload it first.
  • Members upload ID Front, ID Back and Face Selfie photos from the member portal. Photos must be JPEG, PNG or WebP and no larger than 5MB.
  • After an ID photo is uploaded, the system reads the details from it automatically. If that reading fails on a required document, the requirement is not treated as met until a clearer photo is uploaded.
  • Verification is shared platform wide. A member who has already uploaded the documents for another Snooker King organisation does not need to upload them again for yours.
  • Staff can see a member's uploads under Identity Documents in the member window.

Frequently Asked Questions

Why Can't I See the Download Member List Button?

The button appears only for owner-level accounts, only in the Members view, and only after a single organisation is selected. Employee and manager logins never see it.

Does the CSV Follow My Plan and Status Filters?

No. The CSV always contains every member of the selected organisation. Use Print Member List when you want only the filtered rows.

Can I Export Members' IC Numbers or Credit Balances?

No. Identity numbers, tax numbers and stored credit balances are left out of the export on purpose to protect members' data.

Does Turning On Identity Verification Block Existing Members?

It only affects credit top-ups at your organisation. Members without the required documents are asked to upload them before their next top-up; their other activity is not blocked.

Must a Member Verify Again at Each Club?

No. Identity documents are shared platform wide, so a member only needs to upload them once across all Snooker King organisations.
