Managing Portal Users (Admins)
The Users page in AISERVA lets a portal admin decide who can sign in to the portal and what they can do. Admins create accounts, reset passwords, promote or demote admins, disable accounts temporarily and delete them. It is used by the account owner or the office administrator who looks after the portal for a business or team.
Before You Start
- You must have the Admin role. Only admins see the Users tile under Apps.
- AISERVA has no public sign-up, so every account is created here.
Roles
| Role | What They Can Do |
|---|---|
| User | Use the apps, their own chats and bots, and manage their own servers and password |
| Admin | Everything a user can do, plus manage users and portal-wide settings such as xDresser content screening |
The page itself explains: "Admins can manage users; regular users can only use the apps."
Create a User
- Go to Apps > Users. The page reads "Manage who can sign in to this portal."
- Under Add User, fill in Email Address.
- Optionally fill in Display Name; the portal greets the person by their first name.
- Enter a Password of at least 8 characters.
- Choose the Role: User or Admin.
- Press Create User. The page confirms "User ... created."
- Give the person their email and password through a private channel, and ask them to change the password on Me after first sign-in.
Account Actions
Each user in the list shows their email, display name, last login, role and whether the account is active or disabled. Your own row is marked you and only offers Reset. Every other row has these actions.
| Action | What It Does |
|---|---|
| Reset | Type a new password (at least 8 characters) and press Reset to replace theirs |
| Make Admin / Make User | Promote a user to admin, or return an admin to user |
| Disable / Enable | Block or restore sign-in without deleting anything |
| Delete | Remove the account permanently |
Reset a Forgotten Password
- Find the user and type a new password in New Password.
- Press Reset. The page confirms "Password updated."
- Send the new password privately and ask them to change it on Me.
Disable Someone Temporarily
- Press Disable next to the user. The page confirms "User updated." and they can no longer sign in.
- Press Enable to restore access. Their chats, bots and servers are still there.
Delete a User
- Press Delete next to the user.
- Confirm "Delete ...? This cannot be undone." The page confirms "User deleted."
Built-In Safety Rules
The portal stops you from locking everyone out:
| Message | When It Appears |
|---|---|
| "You cannot demote your own account." | You try to make yourself a user |
| "You cannot deactivate your own account." | You try to disable yourself |
| "You cannot delete your own account." | You try to delete yourself |
| "Cannot deactivate the last active admin." | Disabling would leave no active admin |
| "Cannot delete the last active admin." | Deleting would leave no active admin |
| "That email is already registered." | The email belongs to an existing account |
| "Invalid email address." | The email is not in a valid format |
| "Password must be at least 8 characters." | The password is too short |
Good Practice for Account Owners
- Keep at least two admins so the portal is never left without one when someone is away.
- Give Admin only to people who must manage users or portal-wide settings.
- Review the user list whenever staff join or leave.
- Ask everyone to watch their New Sign-In notifications and report sign-ins they did not make.
- Decide whether xDresser content screening should be on for your team, and set it on the xDresser page.
Frequently Asked Questions
Can a User See Another User's Chats or Bots?
No. Chats, bots and servers belong to the account that created them.
A User Forgot Their Password. What Do I Do?
Use Reset to set a new one, send it privately, and ask them to change it on Me.
What Happens to a Disabled User's Servers?
They stay linked to that account. Enable the user again, or ask them to remove the servers before you delete the account.
Does Each User Need Their Own Server?
Yes. Apps run on the servers linked to the signed-in account, so each person connects a server from their own Servers tab, up to 10 per account.
