Firm Management, Staff and Access

Firm Management in LawServa is where the firm manager keeps the firm profile, staff, roles and access, rate cards, practising certificates, pupillage, training and leave, and the client portal. It controls who sees which screens and who may approve what. It is used by the managing partner, the office manager and whoever administers the practice.

Before You Start

You need the user management permission to open Firm Management under Firm.

The Firm Profile

Under Firm Profile, press Edit Profile to update the firm's name, address and contact details, and tick Registered for SST if the firm is registered. Press Save Profile.

Adding Staff

  1. Open Firm Management.
  2. Press Add Staff.
  3. Enter the Full Name, Email and Initials.
  4. Choose the Role.
  5. For a lawyer, enter the Bar Council Roll Number, and set the Hourly Rate, RM.
  6. Press Create Account.

The person signs in with the email and the password set for them. Use Reset Password if they forget it.

When Someone Leaves

  1. Find the person under Staff.
  2. Press Hand Over and choose who to Hand Everything To.
  3. Press Change Status and set them as having left the firm.

Handing over passes their work to a colleague, so nothing is left without an owner.

Roles and Access

Each person has a user type (role), and each role carries a set of permissions. Under Manage Access you can:

  • Change Role for a person
  • create a new user type with New Type and Create Type
  • set a person's authority for an action to none, do, or do and approve, and press Save Level

Rate Cards

Rate Cards is a tab of Firm Management. Rates are dated, so a corrected old time entry is valued at the rate that applied on its date.

Practising Certificates, Pupils, Training and Leave

Firm Management also keeps Practising Certificates with their expiry dates, Pupils in Chambers (press Record Pupillage), a Training Log (press Record Training), and leave (press Record Leave) so the firm knows Who Is Available.

Client Portal

Client Portal is a tab of Firm Management. It lets a client sign in and see their own files, the documents you share with them one by one, their bills and their own account.

  1. Open Client Portal.
  2. Press Invite Client and choose the client.
  3. Press Send Invitation.
  4. Use Give Access or Set Access to choose which files and documents the client can see.

Invitation links are single use and expire quickly. A client sees nothing unless you have given access to it.

The Firm Owner Console

The owner of a LawServa subscription, often the managing partner, has a Firm Owner Console in the account menu. It covers every firm on the subscription.

A person's access page lets the owner set each permission to No Access, Can Do or Can Do and Approve, press Save Access, set who they report to with Save Reporting, and record their standing with Save Standing.

How Do I Stop Someone Seeing a Screen?

Change their role, or change the permissions of their user type under Manage Access.

What Happens to a Leaver's Files?

Use Hand Over to move their work to a colleague before changing their status.

Can a Client See All Their Documents in the Portal?

No. A client only sees files and documents you have shared with them.

Where Do I Change My Own Password?
