Rentals and Deposits

Rentals in Snooker King let a snooker or billiard centre rent out lockers, rooms and parking bays by the hour, day, month or year, with refundable deposits and late fees. The Deposits page tracks every refundable deposit collected from rentals and at the POS counter, showing what is held, refunded or forfeited. It is used by centres that rent cue lockers or private rooms, and by managers who reconcile deposits.

Before You Start

  • Staff need the Rental permission on their employee profile.
  • Rental properties, plans and deposit types are set up in Settings > Rental.

Rental Settings

  1. Open Settings > Rental.
  2. Under Property Display Settings, choose the Property Theme (Locker, Room or Parking Bay) and whether to Show Grand Total Badge on card.
  3. Under Deposit Types Enabled, tick the deposits you collect: Rental Deposit, Security Deposit, Utility Deposit, Key Deposit, Renovation Deposit or Other Deposit, with your own Other Deposit Label.
  4. Tick Allow partial payment for Rental transactions if customers may pay in instalments.
  5. Save.

Creating a Rental Plan

  1. In Settings > Rental, find Rental Plans and press + Add Plan.
  2. Enter the Plan Name, for example "Cue Locker Monthly".
  3. Set the duration in Years, Months, Days and Hours.
  4. Enter the Rental Fee and the amounts under Deposits.
  5. Under Late Fee, choose the type (Flat, Percentage or Per Day) and the value.
  6. Choose the Discounts Allowed and save.

Renting a Property

  1. Find a property card showing READY.
  2. Press Rent and pick a plan in Select Rental Plan.
  3. In the Rental Session window, check the property, items, deposits and invoices.
  4. Take payment with Process Payment. A Deposit Slip is issued for the deposit.

A card booked ahead shows ADVANCE BOOKED. Press Check In when the customer arrives.

Extending and Ending a Rental

  • To extend, press Extend on the card and choose the extension plan. Late fees follow the plan's Late Fee setting.
  • To finish, press Check Out and settle any balance. When everything is already paid, the card shows End Session instead.
  • To return a deposit, press Process Refund in the Refund Confirmation window. A Refund Receipt is issued.
  • If the property is damaged or a key is not returned, use Forfeit on the deposit and press Confirm Forfeit with the amount kept.

Warning

Forfeiting reduces what the customer gets back and counts as revenue. Record the reason clearly and tell the customer before you confirm.

The Deposits Page

Deposits in the top navigation lists refundable deposits from rentals and the POS in one place.

  • Filter by source (All Sources, Rental or POS), by payment method and with Status Filter (Pending, Held, Partial, Forfeited, Refunded).
  • Summary cards show Net Held, Collected, Refunded, Forfeited, Active Deposits and Pending.
  • Columns: Date, Source, Slip No., Customer, Details, Collected, Refunded, Forfeited, Net Held, Method, Status and Actions.

Net Held is what was collected minus what was refunded and forfeited.

Counter Deposits in the POS

The Point of Sale has a Deposits mode for deposits that are not linked to a rental, for example a deposit on a cue left for repair. Use Collect Deposit to take one, and the Held tab to find and settle deposits you are holding.

Frequently Asked Questions

Can I Rent Out Cues With This Module?

The rental module is built for spaces such as lockers, rooms and parking bays. Sell cues as POS items, or take a counter deposit in the POS when you lend one.

Where Do Rental Fees Appear in Reports?

On Revenues, filter the source by Rental Fees, Rental Extensions, Rental Late Fees, Rental Forfeits, Rental Deposits or Rental Refunds.

How Much Deposit Am I Holding?

See Net Held on the Deposits page, filtered to the centre and period you need.

Can a Customer Pay a Rental in Parts?

Yes, if Allow partial payment for Rental transactions is ticked in Settings > Rental.
