xSERVA Committee and Community Tools

The committee and community tools in the VYROX xSERVA campus operations family (HomeServa, PropServa, SmartServa and SportServa) let a management body share financial reports and meeting minutes with residents, keep shared files, send internal mails, run a community marketplace and self-service laundry, sell through POSERVA Point of Sale and keep a supplier list. They are used by JMB, MC and Sub-MC committees, building managers and the office staff who support them.

Before You Start

• Sign in at the portal address your operator gives you. See Login.
• The tiles and menus below appear only when your operator has switched the feature on for your property and your user account is allowed to use it.
• Residents see the published items in the resident app, under Apps.

Management Accounts

The Management Accounts tile holds the financial statements your management body shares with owners, such as monthly or quarterly accounts.

1. Press the Management Accounts tile.
2. Press New Document.
3. Enter the Title, the Content and an optional Remark, attach the file under Attachment and press Upload.

The list shows each document with its Uploader and the date Uploaded. Use Download to open a copy and Delete to remove one. Residents read the same documents in the app under Management Account.

Meeting Minutes

Meeting Minutes works the same way as management accounts.

1. Press the Meeting Minutes tile and then New Minute.
2. Enter the Title, Content and Remark, attach the minutes and press Upload.

Residents read them in the app under Meeting Minutes.

Files

The Files tile is a shared library for forms, house rules, drawings and other documents.

1. Press the Files tile and then New File.
2. Press Select a file to upload a document, or paste an existing link into the box marked "Copy and paste its link here".
3. Save. The list shows the File Name, who it was Uploaded By and when.

Internal Mails

The Internal Mails tile keeps the mails exchanged inside the portal in one list, so office staff can look back at them. Use Search to find a mail.

Announcements

Announcements to residents are covered with complaints and help desk work in Complaints, Help Desk and SOS.

Property QR Code

The Property QR Code tile shows a single QR code that points to your property's portal address. Print it and display it at the guardhouse, lobby or management office so residents and visitors can scan it to open the right portal and app. The same code is available to residents in the app.

Community Marketplace

Community Marketplace lets residents and approved merchants list items and services for the community.

Managing Listings

1. Press the Community Marketplace tile.
2. Press New Item Listing to add a listing yourself, giving a Title, Type, Description and Price.
3. Listings sent in by residents or merchants wait under Pending Approval. Press Approve or Reject.
4. Use Edit to change a listing and Delete to take it down. The list shows who each item was Uploaded by.

Managing Merchants

1. From the marketplace, open Merchants and press New Merchant.
2. Enter the Business Name, Location, Person In Charge Name, Mobile Phone No. and WhatsApp No.
3. Set a Username and Password for the merchant's own panel, then press Add.

Each merchant row shows its Status and Item Count. Merchants that register themselves wait under Pending Approval.

Self-Service Laundry

Self-Service Laundry manages coin-less washers and dryers that residents pay for in the app.

1. Go to Settings > Self-Service Laundry and press New Amenity for each machine.
2. Enter the Amenity Name, Location, Description, Rate, Max Duration and Availability, and link the machine's Lock.
3. Print the machine's QR Code and stick it on the machine.

Residents open Laundry in the app, scan the machine, pay and start it. The Self-Service Laundry tile on the home screen lists every laundry session with its Duration and Amenity Fee so you can reconcile income.

POSERVA Point of Sale and Products

Properties that run a café, shop or club counter can sell with POSERVA Point of Sale.

• Settings > POSERVA Point of Sale holds the POS settings. Press Save Changes after editing.
• Settings > Products holds your item list. Press New Product Item and enter the Item Code, Item Description, Barcode, Product Group, Classification, Cost Price and Selling Price.
• The POSERVA Point of Sale tile on the home screen opens the till.

Suppliers

Suppliers in the top menu keeps the contractors and vendors your property buys from.

1. Open Suppliers and press New Supplier.
2. Choose the Type, then enter the Company Name, Company Registration No. and Company Telephone No.
3. Add the salesperson's Salesperson Name, Salesperson Mobile Phone No., Salesperson Email Address and Salesperson NRIC/Passport No.
4. Press Add.

Suppliers you add here are available when you raise Purchase Request Forms.

Frequently Asked Questions

Can Residents Download Management Accounts and Minutes?

Yes. Everything you upload under Management Accounts and Meeting Minutes appears in the resident app under the matching icon in Apps.

Why Is a Marketplace Listing Not Showing in the App?

Listings from residents and merchants stay under Pending Approval until a staff member presses Approve.

A Laundry Machine Does Not Start After Payment. What Should I Check?

Check that the machine has the correct Lock linked in Settings > Self-Service Laundry and that it is powered and online. See xSERVA Troubleshooting and FAQ.

Can I Delete an Uploaded Document?

Yes, press Delete on the row. Residents lose access to it straight away, so upload a corrected version first if the document is still needed.
