Invoices, Receipts and Refunds

Invoices in Snooker King are the permanent record of every sale: table time, packages, food and drinks, credit top-ups and rentals. The Invoice Details window lets you print or email a bill, take payment on an unpaid one, correct mistakes with a recorded reason, change the date, record a refund, and validate the invoice with LHDN. The Document Designer controls how receipts look. It is used by cashiers for reprints and by managers for corrections and refunds.

Before You Start

Editing, deleting and refunding invoices are controlled by permissions on each employee. See Staff, Permissions and Attendance. Staff without permission see Permission denied when they try.

Opening an Invoice

  • From Revenues, click any invoice in the list.
  • From a table, press the history icon in the corner of the table tile and click a bill.
  • From a member's profile, open the Invoices section.

The Invoice Details window shows two views: Current and Original, the way the invoice looked before its first edit.

Correcting an Invoice

  1. Open the invoice and press Edit Invoice.
  2. Correct Customer Information (Customer Name, Customer Mobile, Member) or the Line Items (Description, Quantity, Price).
  3. Check the Summary: Sum of Line Prices, Total Discounts, Total Service Charges, Total Tax, Manual Discount, Invoice Additional Discount, Rounding Adjustment and Grand Total.
  4. Enter the Reason for this change. It is kept in the invoice's change history.
  5. Press Save Changes. Reset to Original discards your edits.

To change only how the bill was paid (for example cash recorded instead of card), use Edit Customer Payment instead.

Recording a Refund

  1. Open the invoice and press Refund.
  2. Check Originally paid by, enter the Refund amount and choose Refund By.
  3. Enter the Reason.
  4. Press Record Refund. A Refund Receipt stamped REFUNDED can be printed or emailed.

For an Official Receipt (a receipt for a payment against an outstanding bill), Refund marks the receipt Refunded and reopens the invoice as outstanding so you can take payment again.

Warning

Refunds and deletions change your revenue figures. Always enter a clear reason, and hand cash refunds back only after the refund is recorded.

Deleted Bills

A deleted bill is not lost. Snooker King keeps it in Deleted Bills, where a manager can review it and put it back.

  1. Go to Revenues and select a specific centre in the filter. The Deleted Bills button stays greyed out while all centres are selected.
  2. Press Deleted Bills in the report button row.
  3. Search by bill number, name or phone number. Press Refresh to reload the list.
  4. To bring a bill back, press Restore on its row and confirm Restore This Bill?. A bill that cannot come back shows a plain-language reason instead of the button.

Note

The Deleted Bills button only appears for staff who are allowed to delete invoices.

Changing an Invoice Date

  1. Open the invoice and press Change Date.
  2. Change Invoice Date shows the date it is Currently dated. Enter the correct date.
  3. Where the bill has a due date, Change Due Date is also available.

Designing Receipts

Open Settings > Document Designer to control the layout of each document type: Invoice, Transaction Slip, Redemption Slip, Deposit, Refund Receipt and Official Receipt.

Reprinting a Kitchen Order

If a kitchen or bar ticket did not print, reprint it from the order. The Reprint Order preview shows the ticket; press Confirm Reprint to send it to the printer again.

Frequently Asked Questions

Can I See What an Invoice Looked Like Before It Was Edited?

Yes. Switch the Invoice Details window to Original.

Can Staff Edit a Paid Invoice?

Only staff with Edit paid invoices (regenerates receipt) ticked. The receipt is regenerated with the change.

Can a Deleted Bill Be Found Again?

Yes. On Revenues, select the centre, press Deleted Bills, search for the bill and press Restore if it was deleted by mistake.

Does a Refund Cancel the e-Invoice?

They are separate buttons. If the invoice was already validated with LHDN and must be withdrawn, use Cancel e-Invoice within LHDN's 72-hour cancellation window. See SST, Service Charge and LHDN e-Invoice.
