Accounting Export and Tenant Sales

Accounting export in Snooker King turns your sales, payments and cash movements into journals that your accountant can import into Xero, Bukku or AutoCount, using your own chart of accounts. It also prepares a Malaysian service tax working paper for your SST return. Tenant sales reporting sends your hourly sales figures to a landlord's system for centres in shopping malls and similar premises. It is used by owners, finance staff and external accountants.

Before You Start

  • Owner-level accounts have access. A manager needs the Accounting tick under Setting Permissions. Operators cannot export.
  • Select a single centre in the Revenues filters first. Accounts and takings belong to one centre.
  • Agree the chart of accounts with your accountant before mapping.

Opening the Export

Go to Revenues, choose one centre, and under Export To choose Accounting Software. The Export to Accounting Software window opens.

Chart of Accounts

The chart of accounts is shared by every centre in the organisation. Xero, Bukku and AutoCount match accounts by code, so every account you export to needs one.

  1. In Chart of Accounts, press Set up Standard Chart for a ready-made list, or Add Account to add your own.
  2. For each account, enter the Account Code, Account Name, Description, Sort Order and Status (Active or Inactive), then press Save.
  3. To load your accountant's list, press Import and complete Import Chart of Accounts from CSV. Use Download Sample to see the file format. Every addition and change is previewed before it is saved.
  4. Press Export to download your chart as a file.

Account Mapping

In Account Mapping, link each kind of money to an account. Table time, memberships and prepaid credit have no POS item behind them, and neither do payment types such as cash, card and e-wallet, so each needs its own mapping. Other lines to map include tax payable, service charge payable, rounding, receivables, invoice-level discounts, refunds and complimentary bills.

Each POS item also has an Accounting Category on its Accounting tab, so food, drinks and merchandise can post to different income accounts.

Exporting for Your Accountant

  1. In Export for Your Accountant, choose From and To. Dates use the centre's own calendar day.
  2. Press Preview Journal and check that the journal balances.
  3. Press Download beside the format your accountant uses: Xero (manual journal), Bukku (journal entry) or AutoCount (GL journal, Excel). Large periods are split into parts to fit each system's import limit. Detail CSV gives line-level detail.
  4. For money paid out of the drawer, use the second journal and press Preview Cash Journal. It uses the same dates and its files start with ''cash-''.
  5. Send both files to your accountant. Never import the same file twice.

If a bill's goods, tax, service charge and rounding do not add up to what was paid, the journal parks the difference in Suspense and names the bill. Use Bills that do not add up in the preview to review and correct those bills one by one.

Warning

For Xero: every line is exported with your organisation's no-tax rate, because the tax is already a separate journal line. The name defaults to No Tax; change it only if your Xero uses a different name.

For AutoCount: ask your accountant to clear the Default Output Tax Code on every sales account this export posts to. Otherwise AutoCount charges tax a second time and your tax liability is overstated while the journal still balances.

Service Tax Working Paper

  1. Enter Taxable Period From and Taxable Period To to match your SST taxable period.
  2. Press Run Working Paper.
  3. Give the working paper to whoever files your SST return.

Accounting software receives a daily summary journal, so it cannot produce the SST-02 figures itself. The working paper is where those figures come from.

Important

Whether your table time, food and drinks are subject to SST depends on your licences, registration and current Royal Malaysian Customs rules. Confirm with your tax agent before changing these settings.

Tenant Sales Reporting (Malls)

Some landlords, usually shopping centres, require tenants to send hourly sales figures and calculate rent from them. Snooker King can send them automatically. Nothing is sent until you set up the connection and switch the feed on.

  1. Go to Centers, edit the centre and open the Tenant Sales tab.
  2. Under Tenant Sales Reporting, check Current state to see what is still needed.
  3. In Connect to Your Landlord, enter the details your landlord issued, including the Machine ID.
  4. In How Often to Send, choose Only when I press Send Now, Once a day, Every six hours or Every hour.
  5. Set What counts as a day, and as turnover.
  6. Before going live, use Check a day before you switch it on: choose a Day to Check, the Which Day basis (Calendar day, midnight to midnight or Business day, using this club's cut-off) and press Check This Day. You see whether the figures would be accepted, and how they compare with your own report.
  7. In Switch the Feed On, turn the feed on.
  8. What has been sent lists every day sent and the landlord's reply. Press Refresh to update it.

Tip

Keep What has been sent as your record if a month is ever disputed. A day marked Refused did not reach the landlord.

Frequently Asked Questions

Which Accounting Software Is Supported?

Snooker King produces journals ready to import into Xero, Bukku and AutoCount, plus a detailed CSV. Preview the journal first and ask your accountant which format they need.

Why Does the Mall Report Differ From My Own Daily Report?

Landlords usually count the calendar day, midnight to midnight, while your own reports use the business day with its End of Day (EOD) Revenue Cut-Off Time.

Why Are There Two Journals?

The sales journal covers takings. The cash journal covers money paid out of the drawer. Your accountant imports both.

Can Snooker King Tell Me if Table Time Is Taxable?

No. It applies what you set in Service Tax Settings. The decision belongs to you and your tax agent.
