Projects, System Types and Task Types

Projects in PlanTask88 are the customer sites your team visits, each with an address and a map position used for the GPS distance check, while system types and task types are the lists used to classify the work done there. Anyone can add and edit projects; only admins manage system types and task types.

Open Settings

Press the gear button at the top right of any tab. Settings lists:

Employees see the note "Only admins can manage system-wide settings."

Add a Project

  1. In Settings press Projects, then Add Project.
  2. Type the Name. It is required.
  3. Set the location in one of these ways:
    • Type in Search place and pick a suggestion. The map moves there and fills in the Address.
    • Tap the map, or drag the pin, to the exact spot. The address is looked up for you.
    • Press Use my location while standing at the site.
  4. Check the Address, and that Latitude and Longitude are filled in.
  5. Press Create. PlanTask88 shows "Saved".

Important

The map position is what PlanTask88 measures distance from. Put the pin at the main entrance or equipment room, not the middle of a large compound, or technicians will be flagged out of range when they are really on site.

If no Google Maps key is set, the search box says "Set Google Maps key in Settings" and the map area shows a message instead of a map. Use my location still works without a key.

Edit or Delete a Project

  1. In Settings > Projects, press the pencil (Edit) icon, change the details and press Update.
  2. Admins can press the bin (Delete) icon and confirm "Delete project?".

Warning

A project with task history cannot be deleted: "Project has task history. Remove it from plans instead of deleting, to preserve records." Deleting an unused project also removes it from every plan, and a plan left with no projects is deleted.

System Types

System types describe the equipment or system worked on, such as CCTV, Access Control or Intercom.

  1. In Settings press System Types.
  2. Type in New system type name and press Add.
  3. To rename, press the pencil icon, type the new name and confirm.
  4. To delete, press the bin icon and confirm Delete?

Task Types

Task types describe the kind of work, such as Installation, Preventive Maintenance or Breakdown Repair.

  1. In Settings press Task Types.
  2. Type in New task type name and press Add.
  3. Rename or delete with the pencil and bin icons.

Note

Deleting a system type or task type removes it from every plan, and past tasks that used it show no type afterwards. Rename instead if you only want to change the wording.

Frequently Asked Questions

Can Employees Add Projects?

Yes. Everyone can add and edit projects. Only admins can delete them.

The Place Search Does Not Work. Why?

It needs a Google Maps key set by an admin in Settings > Google Maps API. Without it, stand at the site and press Use my location.

Do I Have to Use System Types?

No. They are optional. If a project in a plan has none ticked, technicians skip that step.

Can I Type Coordinates by Hand?

No. Latitude and Longitude are filled from the map, the search or Use my location.
