LawServa · LawServa: Legal Practice Manual
Compliance, Reports and Automations in LawServa help a firm see risk across all its files, keep its statutory registers, measure its work and money, and automate routine steps safely. Risk Radar applies fixed rules to your records without any AI. The registers cover suspicious transactions, unclaimed moneys, the accountant's report and PDPA. Automations run rules you set up, with previews and approvals. Partners, compliance officers and firm managers use these screens.
Each screen has its own permission. The STR Register is restricted to the people who manage suspicious transaction reports and is not visible to the fee earner on the file.
Choose Risk Radar under Compliance. It lists findings produced by fixed rules over your records, such as overdue dates, CDD gaps, client ledgers in debit, outstanding undertakings, court filings and costs orders. Each finding shows its severity and the file. Open a finding to record what was done, for example Note It or In Hand.
Risk Radar also watches stakeholder sums held on conveyancing files under Schedule G, Schedule H or a contractual retention. It raises a finding when a tranche is due for release, when it is well past its release date, and when a stakeholder sum is not in the client account.
The Registers row under Compliance opens a set of tabs:
| Register | What It Holds |
|---|---|
| STR Register | Suspicious transaction reports, restricted to authorised staff |
| Unclaimed Moneys | Client balances that may need to be dealt with as unclaimed money |
| Accountant's Report | The pack for the firm's annual accountant's report, including client account reconciliations, bills delivered, credit notes and costs taken from client account |
| PDPA Register | Data access and correction requests, consents, cross-border transfers, breaches and the Data Protection Officer |
For step-by-step instructions on each register, see STR, Unclaimed Moneys, Accountant's Report and PDPA Registers.
Choose Reports under Firm. Pick a period and press Show Period. Reports include:
Each section is shown only to people with permission to see it.
Most list screens have two buttons at the top:
Lists you can export include matters, clients, enquiries, the diary, time recorded, bills, the cash book, correspondence, matter approvals, counsel and agents, court filings, costs orders, bills of costs, undertakings, the safe custody register and movements, vouchers, documents, aged debtors, work in progress and CDD exceptions. Each export needs the same permission as the screen, and walled-off matters are left out.
Choose Automations under Firm. The screen shows today's activity, rules running, approvals waiting and notices. Notices are shown on screen, never emailed; press Mark Read when done.
A rule starts on a trigger, such as a matter opened, a stage changed, a deadline approaching or missed, a document filed, an invoice issued or overdue, a payment received, CDD expiring or an undertaking due. It then does one of five things: create a date, tell somebody, generate a document from a precedent, ask for approval, or move the file on to another stage.
A rule cannot go live until someone has previewed it. Daily caps and loop brakes stop a runaway rule, and Pause It stops it at any time. Approval chains are set up with New Chain; the people in a chain press Agree or Refuse.
No. Risk Radar uses fixed rules over your records.
A rule must be previewed against your files with Run Preview before it can be switched on.
No. An automation's notices are shown inside LawServa, not emailed.
Only the firm's designated compliance officers and its partners. It is hidden from the fee earner on the file.
