The Claim Form, Share and Download

When you confirm your receipts, InstaClaim generates two documents: an A4 PDF reimbursement claim form with every receipt image attached, and an Excel file with the same figures for finance to process. The standalone InstaClaim app does not email them; you send them to your finance team yourself with Share or Download.

After Generating Documents, the screen shows Analysis Completed, a line such as "Successfully generated 412.3KB PDF and 82.5KB Excel!", and a preview of the first page of the claim form. Below it are three buttons:

Share	Opens your device's share sheet so you can send the files by WhatsApp, email, Telegram, Google Drive and so on.
Download	Saves the PDF and the Excel file to your device.
New	Clears everything and starts a new claim.

What Is in the PDF

The company heading and the title Employee Reimbursement Claim Form - Business Expense Details and Summary.
Your details: Employee, Date, MyKad/ID No, Tax ID, Bank Name, Bank Account No, Total Amount and Total Receipts.
RECEIPT DETAILS: one row per receipt with No., Date, GL Code, Vendor and Amount, and the total.
EXPENSE SUMMARY: totals per GL Account with Amount and the percentage of the claim.
Signature lines: Employee Signature, Manager Approval and Date.
The cropped image of every receipt, numbered to match the table.
A footer "Generated by VYROX AI" with the date and time.

The Excel file contains the receipt details and expense summary so finance can copy the figures into the accounting system.

Files are named with your name and the date, for example ''Expense_Tan_Mei_Ling_2026-09-23.pdf'' and ''Expense_Tan_Mei_Ling_2026-09-23.xlsx''.

Press Share.
Choose the app to send with, and the recipient (for example your manager or the finance email address).
Send.

How sharing works depends on the device:

Device	What Happens
iPhone and iPad	The share sheet opens for the files. If sharing fails, the files are downloaded to the Files app instead.
Android	InstaClaim tries to share the files, and downloads them if sharing is not possible.
Computer	Most desktop browsers cannot share files, so InstaClaim downloads them instead.

On some devices InstaClaim bundles the PDF and Excel into one ZIP file to share them together.

Download the Claim

Press Download.
Find the PDF and Excel file in your Downloads folder (computer or Android) or the Files app (iPhone).
Attach them to an email to finance, or print the PDF for signature.

Get the Claim Approved

Print the PDF or open it in a PDF app that supports signing.
Sign on Employee Signature.
Pass it to your manager to sign Manager Approval and date it.
Submit it to finance together with the original paper receipts if your company requires them.

Frequently Asked Questions

Why Did I Not Receive an Email?

The standalone InstaClaim does not send emails. Use Share or Download to send the documents yourself.

Can I Get the PDF Again Later?

No. Only the claim figures are saved in Claim Records. Keep your downloaded copy, or redo the claim from the receipts.

The Preview Says PDF Preview Is Not Available. Is the File Broken?

No. Some browsers cannot draw the preview, so InstaClaim shows a simpler version. "The PDF file is still generated and can be shared."

Can I Edit the PDF?

Not in InstaClaim. Correct the figures in Review Receipt Data before you press Confirm.
