Memberships and Classes in SportServa, the sports club edition of VYROX xSERVA, lets you sell membership plans, publish coached classes, sell class passes that members use to book those classes, and track every class booking from one staff portal. It is used by sports clubs, fitness centres, academies and recreation clubs in Malaysia that run paid memberships and scheduled group sessions.

Before You Start

  • Sign in to the staff portal at the portal address your operator gives you.
  • Membership Plans and Campaigns live in the management console, which is available to the main administrator account of the management body. Other staff will not see these menus.
  • Classes, Class Types, Coaches and Class Passes appear under Settings only when the classes module is enabled for your project and your staff role has settings access.
  • Create your facilities first if classes will run on a booked court or room. See Facility Booking System.
  • Set up your tax types (for example SST) before you create priced plans or passes, so you can pick them from the Tax Type list.

Set things up in this order: membership plans, coaches, class types, classes, class passes. Customers then buy passes and book classes.

Membership Plans

A membership plan defines what a member pays, how long the membership lasts and what it unlocks. The plan list shows each plan's Membership Plan Code, Membership Plan Name, Member Count and Status, so you can see at a glance how many members are on each plan.

Create a Membership Plan

  1. In the management console, go to Membership Plans and press New Membership Plan.
  2. Enter the Membership Plan Name and a short Membership Plan Code. Both are required.
  3. Add a Description that members will understand, for example what is included.
  4. To collect a refundable deposit, tick Refundable Deposit and enter the amount in RM.
  5. Under Validity Duration, enter the number of months, quarters or years, or choose Lifetime.
  6. To charge a fee, tick Charge, enter the amount and pick the billing option shown.
  7. Tick Tax Type and select the tax (for example SST) if the fee is taxable.
  8. Tick the affiliate projects where this plan is available for subscription and use.
  9. Set any optional limits (see the table below), then press Add.

Membership Plan Options

Tip

Use Hide This Membership Plan in the User App for staff-only plans such as committee or sponsor memberships. Staff can still assign them in the portal.

To change a plan, open it from the list and press Edit, then Update. For renewals, member lists and day-to-day membership handling, see Membership Management System.

Warning

Deleting a membership plan that still has members can confuse billing and access. Check the Member Count first and move members to another plan before you press Delete.

Coaches

  1. Go to Settings > Classes and open the Coaches tab.
  2. Press New Coach.
  3. Enter the Coach Name and upload a Coach Photo.
  4. Press Add.

To update a coach, select them and press Edit Coach, then Save.

Class Types

Class types group your classes, and class passes are granted per class type.

  1. Go to Settings > Classes and open the Class Types tab.
  2. Press New Class Type.
  3. Enter the Class Type Name and upload a Class Type Photo.
  4. Press Add.

Classes

  1. Go to Settings > Classes and open the Classes tab.
  2. Press New Class.
  3. Enter the Class Name and choose the Class Type and Coach.
  4. Set the Class Date, Start Time and End Time, or press Select from Booking Calendar to pick a free slot on a Facility Type and Facility.
  5. Enter the Capacity (the maximum number of participants) and the Booking Dateline after which members can no longer book.
  6. Press Done to save.

Use the date filters (Today, Yesterday, This Month, Last Month, This Year, Last Year or Custom Time Frame) and Search to find classes. To change a class, press Edit Class.

Important

Booking a class through Select from Booking Calendar reserves the facility, so members cannot book that court for the same slot. The facility booking rules still apply. See Facility Booking Rules.

Class Passes

A class pass is what a customer buys to book classes. You define the pass products under Settings, and you track the passes customers hold in the Class Passes feature.

Create a Class Pass Product

  1. Go to Settings > Class Passes and press New Class Pass.
  2. Enter the Class Pass Name and pick a Class Pass Color so staff can recognise it quickly.
  3. Under Validity, choose Months or Days and enter the number.
  4. Enter the Price in RM, and tick Tax Type if the price is taxable.
  5. Under This Class Pass Allows Booking For, tick the class types, or individual classes within a type, that the pass covers.
  6. Optionally tick the auto-cancel option and choose how long to wait before a pass without full payment is cancelled automatically.
  7. Press Add.

Manage Customers' Class Passes

Open the Class Passes feature from the main menu. The list shows Pass Name, Customer Name, Customer Account ID, Booking Remaining, Start Time and Status. Filter by Active, Suspended, Expired, Cancelled or All, and search by name, phone or pass ID.

  • Press New Class Pass to sell a pass to a customer.
  • Press Charge to bill the pass.
  • Press Suspend to pause a pass, for example during an injury, and Unsuspend to resume it.
  • Press Cancel to end a pass early.

Warning

Cancelling a pass is a money-related action. Confirm any refund with the customer before you press Cancel.

Class Bookings

Open the Class Bookings feature from the main menu to see every booking. The list shows Booking ID, Class Name, Coach, Start Time, Booked By, Booked For and the Class Pass used. Filter by Active, Completed, Cancelled or All.

  1. To book on behalf of a member, press New Class Booking.
  2. Review the Class Details, choose the member under Select Owner/Tenant, and pick the class pass to use. If the member has no suitable pass, press Add under New Class Pass.
  3. Press Pay to confirm the booking.
  4. To cancel an active booking, press Cancel on its row.

Booked By and Booked For differ when a parent books for a child or staff book at the counter.

Campaigns and Vouchers

Campaigns let you run promotions that issue vouchers. In the management console, go to Campaigns and press New Campaign. Set the Campaign Name, Start Date, End Date, Discount Value, Min Spend and Redemption Limit, then review Voucher and Redemption Details to track usage. Frequently Asked Questions

Why Can I Not See the Classes Menu?

The classes module is not enabled for your project, or your role lacks settings access. Ask your administrator or operator to enable it.

Can One Class Pass Cover Several Class Types?

Yes. Under This Class Pass Allows Booking For, tick every class type or individual class the pass should cover.

What Happens When a Class Is Full?

Once bookings reach the Capacity, the class shows no availability and members cannot book it.

Can I Pause a Member's Pass?

Yes. Open the pass in Class Passes and press Suspend. Press Unsuspend when the member returns.

Can I Offer a Membership Only to Certain Members?

Tick Hide This Membership Plan in the User App. Staff can still assign the plan from the portal.
