Staff, Permissions and Attendance

Staff management in Snooker King controls who can sign in to your centre and exactly what each person may do. Every employee has a role (Manager, Operator or Sales Agent), one or more centres, and a set of permission ticks covering members, invoices, lighting, stock, settings and revenue. Employees also clock in and out, so you can see the hours each person worked. It is used by owners and managers when hiring staff and reviewing access.

Before You Start

  • Owner-level accounts manage staff. A manager can do so only with the Employees tick under Dashboard Permissions.
  • Give each staff member their own account. Shared logins make the audit trail useless.

Creating an Employee

  1. Go to Employees (the Employees Management page) and press Create New Employee.
  2. On the General tab, choose the Organization and enter the Name.
  3. Enter a Username. It must be unique across the whole system and is not case-sensitive.
  4. Enter a Password and set Status to Active.
  5. Choose the Centers the employee works at.
  6. Choose the Role: Manager, Operator or Sales Agent.
  7. Set permissions on the User Access Control tab.
  8. On the Card tab, add the staff card number if staff identify themselves with cards.
  9. Press Confirm Create.

Give the username and password to the employee in person. The employee list shows Created, Name, Username, Role, Center and Status, with View, Edit and Delete actions.

Settings and Dashboard Access for Managers

Managers get one tick for each area they may open.

  • Setting Permissions: System, Table, Bookings, Count Up Games, Count Down Packages, Point of Sale, Credit Package, Rental, Service Charges, Tax, Accounting, Member Discounts, Loyalty, Lighting Control, Document Designer and Printers.
  • Dashboard Permissions: Employees, Organization, Centers, Campaign, Memberships and Revenues.

Revenue Permissions

  • View the Revenue page opens the Revenues page to this employee.
  • Revenue Page - Limit Which Date Ranges Are Visible restricts which date ranges they can choose, for example only Yesterday or Last 7 Days.

Tip

Start new staff with the fewest permissions and add more when a real need appears. Deleting and editing paid invoices are the permissions most often misused.

Attendance

  1. Staff open Attendance from their name menu at the top of the screen. The Clocking window opens.
  2. At the start of a shift they press Clock In, adding an optional note such as the shift or task.
  3. At the end of the shift they press Clock Out.

Managers and owners review hours in the same window:

  1. Choose the Branch, the Period (Today, This Week, This Month or Custom Range) and the View (Just Me or All Staff).
  2. Read the summary: Total Hours, Days Worked, Avg / Day, Avg / Shift and Shifts, then Hours by Day, Summary by Staff and Records.
  3. Press Export CSV or Print Report to keep a copy.

Managers and owners can always clock staff in and out. To let an operator do this for others, tick Allow this operator to clock other staff in and out under Attendance Management on the employee.

Time Attendance Settings

Owners open these from the clock button on the Employees Management page.

Deactivating a Leaver

When someone leaves, edit the employee and set Status to Inactive. Their name stays on every invoice they served.

Frequently Asked Questions

Can One Employee Work at Two Centres?

Yes. Choose both in Centers.

Do Staff Sign In With a Username?

Yes. Each employee signs in with the unique Username you set, which is not case-sensitive.

How Do I Stop a Cashier Seeing Last Month's Revenue?

Use Revenue Page - Limit Which Date Ranges Are Visible and choose short ranges only.

What Happens if Someone Forgets to Clock Out?

The shift is closed automatically after the hours set in Auto-close a shift left open after, and is marked as auto-closed in the records.

Is Attendance the Same as Payroll?

No. Attendance records hours worked. Use a payroll system such as Payroll88 for salaries, EPF, SOCSO, EIS and PCB.
