Tax and Service Charge Settings

Tax and service charge settings in FoodServa and POSERVA control how SST and service charge are added to every sale. You set a default for the whole organisation, override it for a center, and override it again for a category or a single item when needed. Each invoice then shows tax and service charge as separate lines. It is used by owners, managers and accountants when setting up an outlet or when rates change.

Before You Start

  • You need a manager or owner role that can open Settings > Tax and Settings > Service Charges.
  • Check with your tax adviser which SST rate applies to your goods and services, and whether your outlet charges a service charge.

How the Levels Work

Rates are looked up from the most specific level to the most general. The first level that has a value is used. The Organization Default column in Settings > Tax and Settings > Service Charges shows the organisation rate each center falls back to.

A blank field means "use the level above". The fields show Use org default, Org default, Category default or Inherit as a reminder.

Tip

Set the organisation default first, then override only the exceptions. Fewer overrides mean fewer mistakes when rates change.

Set Tax for a Center

  1. Go to Settings > Tax.
  2. The Currently Applied panel shows the rates now in force.
  3. Under Center-Level Tax, find the Point of Sale product type.
  4. Enter the Tax (%), or leave it blank to use the organisation default.
  5. Choose Tax added on top (exclusive) or Price includes tax (inclusive).
  6. Press Save.

Set Service Charge for a Center

  1. Go to Settings > Service Charges.
  2. Under Center-Level Service Charge, enter the Service Charge (%) for Point of Sale, or leave it blank for the organisation default.
  3. Under Apply Service Charge, choose Follow the organization setting, On for this center or Off for this center.
  4. Press Save.

Important

A new rate applies to items added to a sale after you save it. Invoices already issued keep the rate they were issued with, and items already sitting in a cart, on a running tab or on a table order keep the rate recorded when they were added.

Inclusive or Exclusive Pricing

On items the same choice is called Tax Mode, with the options Inherit from category, Exclusive and Tax-inclusive. The organisation sets its Default Tax Mode in its details under Establishments.

Suggested Sell Prices

In Settings > Tax, the Suggested Sell Prices section lets you set a Gross Profit Target (%) for Point of Sale items. Categories and items can set their own GP Target (%). The target is used as a guide when you price items against their cost.

How Tax Appears on Documents

Invoices show Total Excluding Tax, the tax amount and Total Including Tax, with service charge on its own line. In Settings > Document Designer you can also turn on Display Tax / VAT Number, Display Tax Summary Table and Display Service Charge Summary Table.

Frequently Asked Questions

Can Food and Drinks Have Different Rates?

Yes. Set the rate on each item category or menu category, or on a single item.

Is Service Charge Taxed?

The invoice shows service charge and tax on separate lines according to your settings. Check the Breakdown on a test sale to confirm the result matches your tax adviser's advice.

Can One Outlet Charge Service Charge and Another Not?

Yes. In Settings > Service Charges, set Apply Service Charge to On for this center or Off for this center for each outlet.

Does Changing the Rate Change Old Invoices?

No. Issued invoices keep their original rate. Only items added after the change use the new rate, so check open tabs and table orders if the timing matters.
