Cash Drawer and Shift Report

The Cash Drawer in FoodServa and POSERVA records every movement of cash that is not a sale, such as petty cash, supplier payments and float top-ups, and lets you count the drawer at the end of each business day against what the system expects. The Shift Report then summarises the shift's sales by type and payment method on one 80mm slip. They are used by cashiers closing the till and by owners and managers checking the day's takings.

Before You Start

  • The Cash Drawer is available to users who can see revenue. On a phone, use the Cash Drawer tile.
  • Select the correct Center. Cash is recorded per center.

Record Cash In or Cash Out

Use Cash Out when money leaves the drawer for anything other than a sale refund at the till, and Cash In when you put money in, for example to top up the float.

  1. Open the Cash Drawer. The Movements tab is shown.
  2. Press Cash Out (or Cash In).
  3. Enter the Amount.
  4. Choose a Category, such as Petty cash, Supplier payment, Refund paid out, Wages / advance or Other.
  5. Choose how it was Paid By: Cash, Card, Bank transfer or E-wallet.
  6. Type the Reason and check the Date paid out.
  7. Press Record Cash Out (or the matching Cash In button).

The Movements tab lists every entry for the chosen Period, with Total put in and Total paid out. Tick Show voided to include voided entries.

Void a Movement

  1. On the Movements tab, press Void on the entry.
  2. Type the reason for voiding.
  3. Press Void Payout to confirm.

Warning

Voiding does not delete the entry. It stays in the list as voided so the audit trail is complete. Record the correct entry again if the amount was wrong.

Count the Drawer on the Daily Drawer

  1. Open the Cash Drawer and choose the Daily Drawer tab.
  2. Use Earlier and Later to move through the dates. Each row is a Business Day.
  3. Read the columns: Carried In (cash brought forward), Cash In (sales takings, deposits and cash put in), Cash Out (cash paid out) and Expected (what should be in the drawer).
  4. Count the notes and coins and type the total in Counted.
  5. The Difference shows any shortage or overage.
  6. To remove a count typed in error, press Clear, then Remove Count to confirm.

Note

The Cash in and Cash out columns on the Daily Drawer include the day's sales takings and deposit money as well as the movements you record by hand, so they will not match the totals on the Movements tab. This is expected.

Tip

A business day that has not finished yet is marked on the Daily Drawer. Count the drawer after closing so the expected figure includes every sale.

Print the Shift Report

  1. Open Revenues and press Shift Report.
  2. The 80mm Shift Report opens. Press Print to print it on the receipt printer, or Save as PDF to keep a copy.

The Shift Report includes sections such as REVENUE, POINT OF SALE, COMBOS SOLD, PAYMENT METHOD, COUPON DISCOUNT, CREDIT USAGE, DEPOSITS HELD, TAX & NET SALES and REVENUE BY EMPLOYEE, ending with the GRAND TOTAL.

To print it automatically, turn on Auto Print Shift Report in Settings > Document Designer.

Frequently Asked Questions

Why Is There a Difference on the Daily Drawer?

A difference means the counted cash does not match what the system expects. Common causes are a sale taken as cash but recorded as card, a cash payout not recorded, or wrong change given. Check the day's invoices and movements.

Should I Record a Supplier Paid in Cash?

Yes. Record it as a Cash Out with the category Supplier payment, so the Daily Drawer expected figure is correct.

Can I Delete a Cash Movement?

No. You can void it with a reason. Voided entries stay visible when Show voided is ticked.

Can I Save the Shift Report as a File?

Yes. In the Shift Report window press Save as PDF.
