Time Recording

Time in LawServa records the work each fee earner does on a matter, with its value at the correct rate, ready for billing. You can type an entry, run a timer while you work, or review Captured Time suggestions that LawServa builds from what you did in the system. Fee earners record time; partners review it in the productivity and utilisation reports.

Before You Start

You need the permission to record your own time. Captured Time needs its own permission. Rates come from Rate Cards under Firm Management, so ask your firm manager to set one if your entries show no value.

Recording Time by Hand

  1. Choose Time under Money.
  2. Press Record Time and choose the Matter.
  3. Enter What You Did, the Kind of Work and the Hours Actually Spent.
  4. Tick Billable if the work is chargeable.
  5. Check the Rate for This Entry.
  6. Press Record Time.

You can also record time from inside a matter under Record time on this file.

Using the Timer

  1. On Time, press Start Timer. The Start a Timer dialog opens.
  2. Choose the Matter, the Kind of Work and enter What You Are Doing.
  3. Press Start Timer. The screen shows Timer Running.
  4. When you finish, press Stop Timer, check the entry and save it.
  5. To throw the timer away without recording anything, press Discard Timer.

Only one timer runs at a time. To carry on with an earlier piece of work, use Resume Timing on its row once the running timer has been stopped.

Reviewing Your Week

This Week lists your entries by date, matter, what you did, time and value. Choose Week Beginning and press Show Week to see another week.

Captured Time

Captured Time is a tab of Time. Each night LawServa rolls up what you did in the system on each file into suggested entries. Nothing on this screen is recorded or billed until you decide.

Correcting and Accepting a Suggestion

  1. Open Time, then the Captured Time tab.
  2. Under Waiting for You, find the suggestion by Date, Matter, Suggested Wording and Time.
  3. Press Review on the row. The suggestion opens in a dialog.
  4. Correct What You Did, the Kind of Work and the Hours as needed. The wording appears on the client's bill, so write it as the client should read it.
  5. Untick Billable for work the client is not charged for. It is still recorded.
  6. Press Record Time to turn it into a time entry, or Dismiss if you do not want it.

Where your firm has AI switched on, Draft Wording in the same dialog suggests wording from the events behind the suggestion. A suggestion marked AI-drafted, not yet reviewed must still be read by you before you record it.

Checking What Was Seen

What Was Seen lists the raw activity behind the suggestions, with Time, Matter, What Happened and whether it was Counted. Choose a Day and press Show Day to look at another date. Press Roll Day to build suggestions for that day now instead of waiting for the nightly roll.

Note

Recording a suggestion writes an ordinary time entry. It still has to be added to a bill by a person before the client is charged.

AI Drafting of Narratives

Where your firm has AI switched on, Draft It in the Record Time dialog turns Your Rough Note for the Assistant to Write Up into suggested wording. Read and edit the wording before you save it.

Frequently Asked Questions

Why Does My Entry Show No Value?

No rate applies to you. Ask your firm manager to set a rate card under Firm Management.

How Do I Correct a Bill That Included the Wrong Time?

An issued bill is corrected with a credit note on the Billing screen, not by editing it. See the billing guide.

Does Captured Time Record Time Automatically?

No. It only suggests entries. Nothing becomes a time entry until you press Record Time on a suggestion.
