Working With Matters

Matters in LawServa are the firm's files. Each matter has a client, a practice area with its own stages, the fee earner and partner responsible, parties, dates, documents, time, bills and a case record. Every other part of LawServa hangs off the matter, so this is the screen fee earners use most.

Before You Start

You need the matter view permission to see matters and the matter edit permission to change them. Some matters may be screened behind a confidentiality wall, so a matter you are not cleared for does not appear to you.

Finding a Matter

  1. Choose Matters under Files.
  2. Use Search, Practice Area and Handler (Everyone or Only mine).
  3. Press Filter.

The list shows each matter's number, client, area, stage, handler and next due date.

Opening a New Matter

  1. Press New Matter.
  2. Choose the Client and the Practice Area.
  3. Enter the Matter Description and, if you know it, the Stage.
  4. Set the Partner Responsible and Handled By.
  5. Fill in the fees, property or court details that apply to this kind of work.
  6. Record where the physical file is kept.
  7. Press Create Matter.

To edit a matter later, change the fields and press Save Changes.

A new matter usually waits in Matter Approvals for a partner to accept it before work starts.

Inside a Matter

Opening a matter shows its record. From here you can:

  • add parties with Add Party
  • add dates with Add Deadline or Add Event
  • record time, disbursements and receipts (see Recording a Disbursement below)
  • file documents and see correspondence
  • build a Chronology of dated facts, record issues in dispute with Add Issue, and keep a Case narrative
  • see Court Filings, Counsel and Agents, costs ordered and Bills of Costs for the file
  • work through the engagement and Closing the file checklists
  • print, save as PDF or email the record from its toolbar

Recording a Disbursement

  1. Open the matter and find Disbursements.
  2. Press Record Disbursement.
  3. Enter the Date Paid, Amount, What It Was For, Paid To and Receipt Reference.
  4. Under Paid From, choose Office Account (to Be Recharged) or Client Account (Already the Client's Money). For office account, choose the Paid Out of Office Account.
  5. Save the entry.

The Disbursements panel shows how much has been incurred and is not yet billed. These amounts are pulled onto the next bill with Add Disbursements, so nothing paid out is forgotten.

Matter Approvals

Matter Approvals is a tab of Matters. A partner sees files waiting for acceptance, with the work already recorded against each, and presses Approve when satisfied.

Undertakings

The Undertakings tab lists undertakings given by the firm and given to it, on each matter, and whether each has been performed.

Warning

An undertaking is a personal professional obligation. Keep the register current and do not rely on it as the only reminder.

Court Filings and Counsel and Agents

Court Filings records what the firm has filed with the court and what the Registry did with it: accepted or rejected, with dates. Counsel and Agents records counsel and agent firms acting on your files, when they appear and their fees. See Court Filings and Counsel and Agents for step-by-step instructions.

Screening a File With a Confidentiality Wall

Every file is open to the whole firm by default. A Confidentiality Wall screens one matter so that only the partner responsible, the person handling it and the people you name can reach it. Use it only where a file has to be screened, for example where a colleague acted for the other side elsewhere.

You need the permission to restrict matters to see this panel.

  1. Open the matter and press Edit Matter.
  2. Scroll to Confidentiality Wall.
  3. Enter Why It Is Screened. Write it as you would explain it to the client.
  4. Press Put Up.
  5. Under Who Is Behind It, choose a colleague in Let Somebody In and press Let In. Repeat for each person who needs the file.

To change the reason later, edit it and press Save Reason. To take someone off the list, press Take Out on their row. To open the file to the firm again, press Take Down.

The partner responsible and the person handling the file are always behind the wall and do not need to be added. For anyone else, a screened file and its documents disappear from lists and searches. A small number of senior people can still reach a screened file, and every such access is written to the file's history.

Warning

Name the right people before you put a wall up. A fee earner who is not let in loses access to the file straight away, including its documents.

Frequently Asked Questions

Why Can I Not Find a Matter My Colleague Can See?

The matter may be screened behind a Confidentiality Wall. Only people let in behind the wall can see it; ask the partner responsible for the file.

Can I Change the Practice Area Later?

You can edit the matter, but the stages shown depend on the area, so check the stage after changing it.

How Do I Close a File?

Move the stage to File closing and complete the Closing the file checklist on the matter record.

Where Is the Physical File?

The matter records Where the File Is, Who Has It and an Archive Box Reference. Original deeds and wills are kept in Safe Custody instead.
