Privacy and Your Data

This page explains, for the standalone InstaClaim app, which information stays on your own device, which is saved on the InstaClaim server, and where your receipt images go to be read by AI. Read it before you enter identity, tax and bank details, especially on a shared device.

Where Each Item Goes

How Receipts Are Read

The standalone InstaClaim reads receipts with a cloud AI service over the internet (shown in the app as "Engaging VYROX AI..."). Only the cropped receipt images and your company's GL code list are sent for reading.

Who Can See Saved Claims

There are no user accounts in the standalone InstaClaim. Anyone who can open your InstaClaim can open Claim Records and see every saved claim's date, employee name and amount, and the GL totals. Identity, tax and bank details are not shown there.

Good Practice

Use your own phone or computer for claims.
On a shared computer, clear the browser's site data for InstaClaim after use so your identity and bank details are not remembered.
Send the PDF only to your manager and finance. It contains your MyKad, tax and bank account numbers.
Crop receipts to the slip so no unrelated personal items appear in the photo.
Do not photograph card slips that show the full card number.

Remove Your Details From a Device

Open the browser settings on that device.
Find the site data for your InstaClaim address (in Chrome: Settings > Privacy and security > Site settings; in Safari on iPhone: Settings > Safari > Advanced > Website Data).
Delete the data for the InstaClaim site.

Next time you open InstaClaim, the Reimbursement Claim Form will be empty.

Frequently Asked Questions

Is My Bank Account Number Stored on the Server?

No. It is remembered in your browser and printed on the PDF, but it is not saved in Claim Records.

Does VYROX Keep My Receipt Images?

The images are sent to the AI service for reading and placed in your PDF. Claim Records keeps the figures, not the images.

Can I Stop InstaClaim Remembering My Details?

Clear the site data after each claim as shown above.
