VYROX xSERVA Campus Operations · HomeServa, PropServa, SmartServa and SportServa: Campus Operations Manual
VP Appointments in xSERVA opens VP Booker, a VYROX mini app that lets a property developer schedule vacant possession (VP) handover appointments, let purchasers book an open slot, and check them in with a QR code on the day. It is used by developers' handover offices, their VP Teams and the purchasers collecting their keys.
VP Booker has two sides that share one schedule:
| Side | Who Uses It | What It Does |
|---|---|---|
| Staff console | Handover office staff and administrators | Sets availability, manages customers and appointments, checks people in, prints reports |
| Customer app | Purchasers (mobile first) | Shows open slots, books, changes or cancels an appointment, shows the check-in QR code |
Each VP Team has its own schedule of sessions, each with a start and end time. One VP Team handles one handover per session, so a session with three teams assigned offers three bookable slots. A slot disappears from the customer app once it is taken or the office is closed that day.
| Field | What It Means | Example |
|---|---|---|
| App Name | Shown in the sidebar, browser tab and sign-in screen | Harmoni Residences VP |
| Resource Name | What a handover team is called | VP Team |
| Developer Company Name | The developer operating the booking system | Your company name |
| Development Name | The project being handed over | Tower A and B |
| Minimum Advance Booking (Hours) | A new appointment must start at least this many hours from now | 24 |
| Maximum Advance Booking (Days) | How far ahead customers may book | 60 |
| Booking Change Cutoff (Hours Before) | After this, only staff can reschedule | 48 |
| Booking Cancellation Cutoff (Hours Before) | After this, only staff can cancel | 48 |
| Remark Shown on the Customer Confirmation | Instructions printed on the confirmation, such as documents to bring | Bring your IC and SPA |
Open Rules are the regular bookable hours. They are checked from the highest priority down, and a level with no slots set falls through to the one below:
| Priority | Level | Applies To |
|---|---|---|
| 1 (highest) | Specific Date | One date only |
| 2 | Day of Month | The same day every month, for example a rent-collection day |
| 3 | Each day of the week | That weekday only, overriding Weekday or Weekend |
| 4 | Weekday / Weekend | Monday to Friday, or Saturday and Sunday |
| 5 (lowest) | All Days | Every date not covered above |
Use Add Slot to add a session with Start and End times. Use Effective From to make a set of rules start on a future date.
Closed Rules are blackout dates such as public holidays or a maintenance day. They always win over Open Rules wherever they match.
The Customers page lists everyone with a VP Booker account, with Mobile, Bookings, Last Sign-In and Project / Unit. Filter by All, Active or Inactive.
A customer marked Needs Password Change has not yet replaced their temporary password.
Administrators may also create a Custom Slot outside the normal schedule when the office agrees a special time with a purchaser.
The Appointments page shows every appointment from today through the next 60 days, with Date, Time, Reference, Customer, Contact and Status.
| Status | What It Means |
|---|---|
| Booked | Confirmed and upcoming |
| Completed | The handover took place |
| Cancelled | Cancelled by the customer or staff |
| No Show | The customer did not attend |
Every slot on that date is taken, a closed rule covers it, or it falls outside the minimum or maximum advance booking window.
The Booking Change Cutoff (Hours Before) has passed. Staff can still reschedule it from the console.
Assign more VP Teams to the sessions for that date, or add a Specific Date rule with extra slots. Each extra team adds one slot per session.
Press Reset Password on the customer in Customers and give them the new temporary password.
