Stock Management

Stock management in POSERVA and FoodServa keeps a running count of every item you sell. Stock goes down automatically when an item is sold or placed on a tab, and goes up when you record a purchase invoice or a stock adjustment. Every change is kept as a stock movement, so you can see exactly why a count changed. It is used by shop owners, store keepers and outlet managers.
Before You Start
You need access to Settings > Point of Sale. On a phone, use the Items & Stock tile.
Stock is kept per centre. Make sure you are working in the correct centre before you start.
Check Stock Levels
Go to Settings > Point of Sale and select Items.
Use the filter to show All Stock, In Stock, Low Stock or Out of Stock.
Switch between List and Grid views as you prefer.
The Stock column shows the quantity on hand and Min shows the minimum stock alert level. Items below their minimum are marked Below minimum stock.
Record a Stock Adjustment
Use a stock adjustment for anything that is not a sale or a supplier purchase: breakage, spoilage, free samples, found stock or a correction.
In Settings > Point of Sale, select the item in the list.
In the Movements panel, press Add. The Stock Adjustment window opens for that item.
Choose the Type: Stock In (+) to add stock or Stock Out (-) to remove it.
Enter the Quantity. For stock in, enter the Unit Cost and optionally the Supplier.
Add a Document No. (for example ''ADJ-001'') and a Remark explaining the reason.
For perishable goods, enter the Best Before date.
Press Save Adjustment.

Do a Stock Count
For a full stock take, use a count sheet instead of adjusting items one by one.
In Settings > Point of Sale, press Count Sheet to download the list of items and their system quantities.
Count the shelves and fill in the counted quantities in the sheet.
Press Enter Count. In Enter Stock Count, use Upload the Filled-In Count Sheet (CSV), or type the counts directly. Use Find an Item in the List to jump to an item.
Review each row. System is what the system expects, Counted is what you found and Difference is the gap. Add a Note, for example ''breakage''.
Tick the rows you want to correct and press Apply Ticked Adjustments.
Add Stock by Scanning
In Settings > Point of Sale, press Scan. The Bulk Stock Scan window opens.
Scan each product into Scan Here. Each scan adds one; use the plus and minus buttons to change a quantity.
Enter a Document No. and Remark if you like.
Press Add to Stock. Use Clear List to start again.
View Stock Movements
In Settings > Point of Sale, select the item. Its Movements panel lists the stock movements.
Choose Latest 30 Records, Latest 100 Records or Date Range.
Each row shows the Datetime, Document, Description, the stock Before, the Movement and the Bal (balance after).
Click a row to see the movement details, or click an invoice number to open the invoice.
Use the print button to print the Stock Movement Report.

Frequently Asked Questions
Why Did an Item's Stock Not Go Down After a Sale?
Check that Track stock for this item is ticked on the item. Items without stock tracking are sold without counting.
How Is Item Cost Worked Out?
Cost comes from your purchase invoices and stock-in adjustments, using a moving weighted average. See Purchases and Suppliers.
Can I Track Stock in Millilitres?
Yes. Set the item's Stock Unit to Volume (ml / L). Stock is then kept in ml and each serving deducts its pour size.
