Client Account and Bank Reconciliation

Client Account in LawServa is the ledger of money the firm holds for clients, kept separately from office money. It records receipts and payments per client and matter, refuses to let a client ledger go overdrawn, corrects mistakes only by reversal, and proves the client bank account in a monthly reconciliation. Accounts staff and the partner responsible for the accounts use it.

Before You Start

Viewing the ledger needs the ledger view permission. Reconciliation needs the reconciliation permission. Keep these with the people your firm has named to handle client money.

Warning

Client money and office money are never added together in LawServa. Every posting must be checked before it is approved.

Setting Up Bank Accounts

  1. Choose Client Account under Money.
  2. Under Bank Accounts, press Add Account.
  3. Complete Add a Bank Account with the Bank, Account Number and Opening Balance.
  4. Press Create Account.

If the account already holds money when you start, use Attribute Opening Balances and Attribute Money to assign the opening balance to the correct clients and matters.

Recording Money

  1. On Client Account, press Record Money.
  2. Choose Which Account, the Date and the Client.
  3. Enter the Amount in Ringgit, the Method and What This Is For.
  4. Add the Cheque Number or Your Reference if there is one.
  5. Save the entry.

For a transfer from client account to office account, for example to pay a bill, choose the office account under Into Which Office Account and say What This Transfer Pays.

Entries that need a second person appear under Waiting for Approval, where an approver presses Approve or Reject.

Correcting a Mistake

A posted entry is never edited or deleted. Open it, read Reverse This Entry, and press Post Reversal. Then record the correct entry.

Client Ledgers

Each client has its own ledger showing every movement and the balance held. The Statement of client account can be printed for the client. A ledger in debit is shown as a problem and is also raised by AI Lawyer's For You Today panel and the Risk Radar.

Bank Reconciliation

Bank Reconciliation is a tab of Client Account.

  1. Open the tab and choose the bank account.
  2. Enter the Statement Date and the statement balance.
  3. Review Cheques Not Yet Presented and Deposits in Transit.
  4. Check The Proof, which lays out how the bank balance agrees with the ledger.
  5. Press Save Reconciliation.

Past reconciliations are listed under Reconciliation History and can be printed.

Dormant and Unclaimed Balances

Balances that have not moved for a long time are listed as dormant. The Unclaimed Moneys register under Compliance helps you track balances that may need to be handled as unclaimed money.

Frequently Asked Questions

Why Will LawServa Not Let Me Pay Out This Amount?

The payment would overdraw the client's ledger. LawServa refuses to let a client ledger go into debit.

How Do I Fix a Wrong Posting?

Post a reversal and then record the correct entry. Postings are never edited or deleted.

Can I Print a Client's Ledger?

Yes. Open the client's ledger and print the statement of client account.
