Menus, Visibility and Custom Fields

Menus & Visibility and Custom Fields in CountServa let you shape the workspace to your business. Menus & Visibility decides which sidebar menus and menu items appear, so staff see only the modules you use. Custom Fields add your own extra boxes to contacts, items, invoices, bills and employees, for information CountServa does not capture by default, such as a project code or a vehicle number. Both are used by the company owner or whoever manages Setup.

Before You Start

  • You need the company Owner or manager role, or a role with Setup rights. See Users, Roles and the User Portal.
  • Both screens are under Settings: Settings > Menus & Visibility and Settings > Custom Fields.

Menus & Visibility

Hiding a menu only changes what you see. Nothing is deleted, and you can switch anything back on at any time. The choice applies to your organisation's sidebar and the module launchpad.

Show or Hide Menus

  1. Go to Settings > Menus & Visibility.
  2. Tick a menu card to show it, or untick it to hide it. Ticking or unticking the menu heading ticks or unticks all of its items.
  3. Inside a menu, untick individual items to hide just those.
  4. Use Show Everything or Hide Everything to change every box at once.
  5. Press Save Menu Visibility. Changes take effect on your next page load.

Return to the Recommended Default

  1. Press Reset to Recommended Default and confirm.

New businesses start on the recommended setup for a Sdn Bhd company: Point of Sale, Memberships and Campaigns are hidden until you need them. Those menus carry an Off by Default tag on this screen.

Note

Core menus (Settings, People, Contacts, Items, Overview) are always shown and are not listed, so nobody can lock themselves out of this page.

Important

Hiding a menu is not a security control. It tidies the sidebar but does not remove anyone's rights. To stop a person using a module, change their role under Settings > User Access Control Roles.

Custom Fields

Add a Custom Field

  1. Go to Settings > Custom Fields.
  2. In the Add Field panel, choose the Entity: Contact, Item, Invoice, Bill or Employee.
  3. Type a Label, for example Project Code.
  4. Choose the Type (see the table below).
  5. For a Dropdown, type the Dropdown Options separated by commas, for example Option A, Option B, Option C.
  6. Tick Required if the record must not be saved without this field.
  7. Press Add Field.

The new box appears on every record of that type.

Existing Fields

The table on the left lists every field with its Entity, Label, Type and Required setting.

Delete a Custom Field

  1. Press Delete on the field's row and confirm.

Warning

Deleting a custom field also deletes every value stored in it, on every record. This cannot be undone. Export or note down any values you need first.

Tip

Before adding a custom field, check whether CountServa already has a built-in one. Projects, Sales Agents and Sales Areas, for example, have their own screens under Accounting and feed their own reports.

Frequently Asked Questions

Does Hiding a Menu Hide It for Everyone?

Yes, the setting is per organisation. People who still have the rights can reach the screen by a saved link, so use roles to restrict access.

Why Is Point of Sale Missing From My Sidebar?

It is off by default for new businesses. Tick it in Settings > Menus & Visibility and press Save Menu Visibility.

Can I Rename a Custom Field?

The screen offers adding and deleting only. Deleting removes stored values, so plan labels carefully before you start using a field.

What Happens if a Required Field Is Left Blank?

The record cannot be saved and CountServa names the missing field.
